OLAM IN MOTION

OLAM in Motion offers subsidies for OLAM partner organizations and individual members to build bridges to the Jewish world and to each other. OLAM in Motion subsidies can be used to attend and present at major Jewish conferences, run a speaking tour in the Jewish community, collaborate with or learn from other OLAM partners, or to assist partner organizations in building their capacity as a response to the ongoing impact of COVID-19.

In 2021, OLAM is entering Phase 2 in our continued response to COVID-19. We are offering additional OLAM in Motion categories that will allow partner organizations to best adapt to the impact of COVID-19 on their work and support their shift to a post-COVID reality.

How it works

OLAM partner organizations can apply for up to $1,500 in subsidies per calendar year, to be used in a number of categories. Individual members can apply for up to $500 in subsidies per calendar year. Applications for subsidies will be accepted on a rolling basis from February 1, 2021 until November 1, 2021. An OLAM partner or member may not re-allocate their OLAM in Motion subsidy to another OLAM partner organization or member.

For travel, OLAM in Motion subsidies are earmarked for economy class flights, economy train tickets and conference registration fees. Subsidies do not cover ground travel, cancellation fees, flight class upgrades, room or board, per diem for food, equipment, visas, vaccinations, travelers’ insurance, or any other expenses. All subsidies will be given in the form of reimbursements, and will not be paid up front prior to the opportunity. To receive reimbursements, partners and members must submit all necessary receipts within 30 days of the date you have spent the funds. Reimbursements will be made on proof of payment (vendor invoices, receipts, etc.) Please note that these funds may not be used to cover staff time of salaried staff. Receipts/invoices that are submitted have to be made out to the partner organization/individual member requesting the reimbursement.

In 2021, travel subsidies will not be awarded until travel restrictions are lifted by the partner/ member’s organization, country of residence, and destination.

OLAM in Motion Categories:

Attending and/or Presenting at a Jewish Conference 

What: A subsidized economy flight or train ticket and/or conference registration fee to attend a Jewish conference as either a presenter, participant, or member of an OLAM delegation.

Note:  You must attend the entire conference, either in person or virtually. Being approved for an OLAM in Motion subsidy is not a guarantee that you can register and/or present at the conference. You need to be in direct contact with the conference organizers to register and/or pitch a session. Contact Amy Weiss at amy@olamtogether.org for ideas of where to go!

Who: Staff of OLAM partner organizations or individual members

Where: Anywhere!

This is not for: Conferences lacking overt Jewish content


Jewish Speaking Tour

What: A subsidized economy flight to “make your own” speaking tour in the Jewish community. 

Note: This requires a minimum of 4 speaking engagements before Jewish audiences, either in one city or multiple cities.

Who: Staff of OLAM partner organizations or individual members

Where: Anywhere in front of new Jewish audiences, which your organization has not reached before.

This is not for:

  • Speaking engagements targeting alumni of your own organization
  • Speaking engagements hosted by communities that have previously hosted a speaking engagement by your organization

Collaboration and Learning Among Practitioners

Initiating a partnership with another OLAM partner organization or member and/or learning from their work in the field.

What: A subsidized economy flight to visit projects related to new collaboration and learning.

Who: Staff of OLAM partner organizations or individual members

Where: In the field.

This subsidy does not cover:

Ongoing maintenance and oversight of existing projects between OLAM partner organizations/individual members

Please Note: Each partner involved in the collaboration can apply for a subsidy to use for the same collaboration.

Phase-2 COVID Response: Capacity Building

What: Membership fee or payment to an online platform that provides professional capacity building opportunities for organizations.

Examples of platforms include: 

 

Who: Staff of OLAM partner organizations. This category is not available to individual members.

Where: An online platform approved by OLAM staff.

This subsidy does not cover: Fees for online communications platforms such as Zoom; online project management systems, such as Zoho or Monday. 


Phase-2 COVID Response: Consultation

What: Fees for consultancy services to support partner organizations to develop skill sets in response to the impact of COVID-19 on their work. 

This includes consultancy on the following topics:

  • Mergers and acquisitions
  • Communications (writing, social media)
  • Marketing
  • Participant recruitment 
  • Fundraising 
  • Strategic planning and implementation

 

Who: Staff of OLAM partner organizations. This category is not available to individual members.

Where: Virtual or in-person.

This subsidy does not cover payment for: 

  • A salary of someone already on staff or hiring a new staff member
  • Travel expenses of the consultant. This subsidy only covers the consultancy fee
  • Lawyer or legal fees for mergers and acquisitions

 

Please Note: 

  • If a merger includes 2 or more OLAM partners, each partner can apply for a subsidy to use for the same process.
  • Consultant must fill a role that is not assigned to a staff member or if staff do not have capacity to fill this role.
  • Consultants can be from within the OLAM network or outside of it. 
  • Organizations can hire an individual consultant or a consultancy firm.

Apply

  1. Apply. Apply here for your OLAM in Motion subsidy at least 14 business days before departure or before beginning your consultancy. Late or retroactive requests will not be accepted.
  2. Interview. After submitting your application you will have a phone interview with OLAM staff to discuss your application and how to make the most of this opportunity. For the Jewish conferences and speaking tour categories, Amy Weiss, Director of Jewish Communal Engagement and Learning will get in touch. For the collaboration and COVID-19 response categories, Yael Shapira, Director of Network Engagement and Programs, will get in touch. Please allow yourself enough time to speak before starting your trip, collaboration or consultancy. 
  3. Response. OLAM staff will email you an update regarding the status of your application within 10 business days of the phone interview. All requests must be approved in writing before travel is booked and a consultant is hired.
  4. Make all necessary arrangements. Book your travel, sign a contract with a consultant, or make plans for collaborating with another partner. Make sure to keep your receipts for reimbursement as you incur costs.
  5. Report. Within 30 days from the date of the expense, you MUST submit your completed reimbursement form. You will also be required to: 
      • Submit the relevant receipts and invoices (for flights, conference registration, consultant fees, etc.). All receipts and/or invoices must be in the name of the partner organization/individual member submitting for reimbursement. If the receipt for a flight or conference fee is in the name of a specific partner staff member, OLAM will need a written confirmation from the partner that the staff member is an employee of your organization.
      • Share 3-5 photos from the experience
      • Report back on specific metrics

  6. Reimbursement payment. OLAM in Motion subsidies are awarded in the form of reimbursements, processed retroactively after your travel or other expenses have taken place. Reimbursements will be made either in US Dollars or Israeli NIS and all payments are based on the exchange rate on the date of purchase. Please note that reimbursements processed in US Dollars will come from OLAM’s US-based fiscal sponsor, Repair the World.

OLAM in Motion is a benefit to OLAM partner organizations and individual members. All staff members of OLAM partner organizations are eligible to apply for OLAM in Motion subsidies, provided they have the approval of their CEO. All individual members must have paid their membership fee for the current year in order to access the subsidy.

An OLAM partner or individual member may not re-allocate their OLAM in Motion subsidy to another OLAM partner organization or individual member.

OLAM partner organizations can apply for up to $1,500 in subsidies per calendar year. Individual members can apply for up to $500 in subsidies per calendar year.

Applications for subsidies for the 2021 fiscal year will be accepted on a rolling basis from February 1, 2021 until November 1, 2021. There is a limited number of subsidies. The earlier in the year you apply, the better!

If traveling, the person traveling must fill out the application form. For the Phase 2 COVID-19 categories, a staff member of the OLAM partner organization who is overseeing the process must submit the form. All application forms must have the prior approval of the CEO.

You will receive an email from OLAM staff within 10 days of your interview unless you are notified otherwise.

You must submit receipts for reimbursement within 30 days of the date you have spent the funds and these will be on the basis of proof of payment with receipts from vendors, consultants, etc. Please note, these subsidies may not be used to fund staff on payroll. Receipts/invoices that are submitted have to be made out to the partner organization (not to a specific staff member) or to the individual member requesting the reimbursement. If receipts are in a different currency than you will be reimbursed, please follow the instructions on the reimbursement form to convert each receipt.

Reimbursements will be made in either U.S. dollars or Israeli NIS. Please note that reimbursements processed in US dollars will come from OLAM’s US-based fiscal sponsor, Repair the World.

  • For travel expenses (to a Jewish conference, a speaking tour, or visiting another partner for collaboration and learning) – subsidies are earmarked for economy class flights, economy train tickets, and conference registration fees
  • For Phase 2 COVID-19 response – subsidies cover a membership fee to a platform that assists with professional capacity building, whether directly related to international development, humanitarian aid and global service, or general organizational skill sets. If hiring a consultant – subsidies are designated for consultancy fees

The categories available to individual members are Engaging with the Global Jewish Community and OLAM Partner Collaboration. The Phase 2 COVID-19 categories are only available for partner organizations.

This is not an exhaustive list, but here are some examples of what OLAM in Motion will not cover:

  • A salary of someone already on staff or hiring a new staff member
  • Travel expenses of a consultant
  • Lawyer or legal fees for mergers and acquisitions
  • Speaking engagements targeting alumni of a partner organization
  • Speaking engagements hosted by communities that have previously hosted a speaking engagement by a partner organization
  • For travel subsidies – taxis, cancellation fees, flight class upgrades, room or board, per diem for food, equipment, visas, vaccinations, or any other expenses, travel-related or otherwise
  • Purchasing virtual platforms, such as communication platforms (e.g. Zoom) or program management systems (e.g. Zoho, Monday, or Slack)
  • Ongoing business-related expenses (e.g. renting office space, long-term equipment rental, ongoing subscription fees for software, web hosting, etc.)
  • The development of a skill that’s not directly related to one of the three OLAM in Motion categories

No aspect of the OLAM in Motion opportunity may involve an attempt to influence legislation, the outcome of any specific public election, or support of any voter registration drive

OLAM in Motion cannot be applied to an expense that has already been incurred. OLAM in Motion is only for future expenses.

Each partner organization or member needs to submit their own application and reimbursement form. Invoices that are submitted must be in the name of the organization submitting for reimbursement. Receipts and invoices cannot overlap with the collaborating organizations – each organization needs to submit unique receipts.

No. Each partner can access up to $1500 and each member can access up to $500 per calendar year that can be used towards their own staff and organization on a first come, first serve basis. No subsidy funds can be allocated to other OLAM partners or members.

The Phase 2 COVID-19 subsidies will be active through 2021. OLAM will then make an informed decision, based on the needs of the field, for 2022.

OLAM is happy to help facilitate connections for meetings or potential speaking opportunities within Jewish communities, connections to Jewish communal professionals, other Jewish individuals or organizations working in the field, and/or expert advisors. OLAM can also refer you to capacity building platforms and partner organizations who have utilized consultants in the past for various capacity building efforts. Please indicate in the application form if you are interested in our support.

No. The applicant is directly responsible for managing their own planning and expenses, unless we explicitly indicate otherwise. Please wait to book flights/register for a conference/hire a consultant until after receiving written approval from OLAM.

In return for receiving a subsidy from OLAM, you are expected to submit your reimbursement form in a timely manner (within 30 days from the date of the expense). We encourage you to share in detail about your subsidized experience, and we may ask to use your feedback in OLAM materials and social media.

We ask you to acknowledge OLAM’s role in any organizational activities or deliverables derived from this subsidy. For example, when posting about your attendance at a Jewish conference on social media, please include a line acknowledging that your participation was made possible by OLAM and linking to our website and Facebook page.
